Responsibilities

PRIMARY 

  • Respond to applicant and new hire inquiries in a professional and timely manner regarding all 
    aspects of the welcome process, providing appropriate follow-up, and referring to corporate as 
    appropriate. 
  • Facilitate the onboarding process through the system or systems utilized for processing new 
    hires to our company, with steps that include, but may or may not be limited to the following 
  • Welcome communication, schedule drug test, request a background check, and data 
    entry the employee details into the Company HRIS. Add PTO accruals and employee 
    benefit guides into the Company HRIS once an employee starts 
  • Engage with new employee before starting date and follow the pre-start checklist. 
  • Confirm vaccination status, as required by law and RHA/UCA requirements 
  • Confirm all paperwork, drug test and background check are complete, follow up with 
    new hire as necessary – save to employee file 
  • Once an employee starts, complete I-9, and E-Verify and support process for 
    compliance purposes. 
  • Follow up with employee for BLS/CPR card, TB Test, & Hep B Shot 
  • If applicable, follow the steps to request a vehicle and/or credit card 
  • Call the new employee after 90 days 
  • Provide detailed information on company operations, structure, history, benefits, and job 
    responsibilities to inquiries. 
  • Maintain confidential information and properly document information for recruiting and 
    payroll purposes. 
  • Maintain and promote a high level of integrity within People Operations as part of the People 
    Team and the company. 
  • Schedules training for new hires 
  • Supports clinical training team by managing the overflow of new hires to include 
    communications with operations leadership and training placement. 
  • Leverages collaborative-based technology (i.e., SharePoint, Smartsheet, etc.) to enhance onboarding and scheduling processes. 
  • Suggest process improvements for continued efficiency utilizing all aspects of technology, but 
    maintaining a strong employee experience. 
  • Continuous engagement with new hires to support an excellent employee experience. 
  • Support employee engagement activities, working with P&C | Human Resources team. 
  • When working in the office, build camaraderie in the corporate support office by engaging and networking with staff in a friendly and encouraging way.

SECONDARY 

  • On a regular basis, in conjunction with or upon the direction execute employee relations events within the Company.  
  • Order Supplies for support corporate office, including kitchen supplies including but not limited to refreshments and condiments. Essential Functions Specific to Supporting Support Office 

Essential Functions Specific to Supporting Support Office: 

  • Coordinate a customized onboarding experience for new senior executive leaders (Director, Vice President, and C-suite), in partnership with the. Director of People and Culture and CPO, that includes, but may or may not be limited to the following: 
  • Coordination and scheduling of travel and accommodations  
  • Preparation of detailed onboarding and training plan for the new leader’s first 30 days 
  • Coordination of onboarding meetings and clinic visits  
  • Regular in-person or virtual check-ins with new leaders to answer questions and provide clear direction on the onboarding and training experience  
  • Coordinate and follow up with other departments and functional areas to ensure a smooth onboarding and training experience 
  • Coordinate and assist with in-person and virtual engagement and recognition activities (i.e. happy hour events, recognition programs) for support office team members.  
  • Collaborate with Director of People and Culture and CPO on innovating and improving current onboarding processes.  
  • Facilitate the onboarding process through the system or systems utilized for processing senior leaders, supervising physicians, externs, and university students to our company, following the Standard Operating Procedure.  
  • Responsible for coordinating placement of university placement students to ensure expectations and requirements are clearly met  
  • Verifies that the site agreement contract is properly signed and that all its provisions are carried out by both parties  
  • Responsible for maintaining and promoting the cleanliness of the corporate support office, including, holiday decorations, updating the bulletin board with events and pictures, maintaining the tidiness of office space; ensuring all waste in the common area is disposed of (i.e. shredder), and interview/board rooms and lobby area are immaculate, as appropriate. 
  • Ability to update and maintain corporate support office communication boards and other employee bulletin boards or poster requirements as appropriate. 

Non-Essential Functions:  

  • Create PowerPoint and Excel presentations for employee events and presentations.  
  • Assist with sourcing and interviewing as appropriate.  
  • Perform other duties as assigned by management. 

Experience Requirements and Preferences:

Education: Bachelor’s Degree in Human Resources, Psychology, Communications,
or Marketing is strongly preferred


OR

 

Experience: Preferred at least one year of Human Resources experience

Education Requirements:

Bachelors Degree (Preferred)
