Overview

The Regional Manager of Clinic Operations will oversee multiple clinics within their division, monitor staff, and provide clinical expertise and direction. They are responsible for strategic planning and execution to enhance profitability, productivity and efficiency throughout the company’s operations.

The Regional Manager will have contact with clinical staff in order to manage the day-to-day operations of the clinic.  The Regional Manager will also have contact with the Executive Team, Vice Presidents of Operations, Regional Directors, Supervising Physicians, Office of Medical Affairs, Talent & Recruiting, People & Culture Partners, Compliance and Learning/Academy for support in directing the clinics.

Responsibilities

  • Oversee the daily management of clinics, ensuring compliance with attendance, tardiness, and dress code policies.
  • Develop, maintain, and oversee PRN/on-call staff lists to manage unexpected absences.
  • Coordinate with PRN staff and/ or staff not scheduled to work to address emergencies or callouts.
  • Ensure accurate supply management, avoiding overstocking and unnecessary spending.
  • Conduct regular on-site visits (a minimum of one clinic per day, including two evenings per week or as needed).
  • Schedule staff according to forecasted needs using scheduling system, ensuring schedules are completed 90 days in advance.
  • Maintain clear communication guardrails, including when to escalate issues to the RD.
  • Partner with RDs for strategic planning, aligning clinic operations with company goals.
  • Manage payroll processes, including overtime, PTO, and correct allocations.
  • Ensure payroll systems are used effectively, with proper training provided to relevant staff.
  • Ensure proper staffing levels across clinics while maintaining cost-efficiency.
  • Create and manage training schedules, including entry into the applicant tracking system, completion of training paperwork, and completion of assigned courses.
  • Partner with RDs to improve the hiring and interview process, conducting on-site interviews with clear guidelines.
  • Ensure clear communication rollouts for company-wide initiatives, maintaining consistency in frequency
  • Coach and mentor clinic staff, providing task-oriented performance management and disciplinary action when necessary.
  • Monitor NPS scores, Google, and Facebook reviews, digging into feedback to drive improvement using PowerBI tools and staff coaching as necessary.
  • Build rapport and culture within the clinics to enhance team morale and cohesion.
  • Responsible for learning the aspects of compliance in the company by completing all mandatory compliance training.
  • Oversee adherence of Fast Pace policies and procedures, both clinical and non-clinical.
  • Oversee and ensure adherence to clinical competencies, DEAs, DOT/UDS completion, and RHC/UCA checklist requirements.
  • Assist in the management, review, investigation and closure of Incident Reports with operational significance that impact clinics, providers and staff under the responsibility of the Reginal Manager.
  • Conduct regular reviews of e-logs, cleanliness, and clinic organization
  • Responsible for overseeing training for positions that report to the Regional Manager.
  • Responsible for overseeing performance and any related counseling of positions that report to the Regional Manager up to and including recommendation for termination of employment.
  • Responsible for overseeing the annual review process for positions that report to the Regional Manager.
  • Understand and assess basic skills and competencies of both front office and back office processes and expectations. 

  • The ability to provide training to positions that report to the Regional Manager on Company Standards of operations.
  • The ability to provide ongoing monitoring of standards by conducting standards testing on positions that report to the Regional Manager.
  • The ability to perform the physical, use of senses, cognitive, and environmental functions of the position, as specified on the physical demands.
  • The ability to build and maintain confidence and credibility with all clients and employees.
  • The ability to maintain friendly, cordial relations with all clients and employees; maintain a positive work atmosphere by acting and communicating in a manner that results in a positive work relationship with customers, co-workers and managers.

  • Travel Required:
    • Position requires travel of up to 5-7 days every week.  ***This is subject to change, due to clinic needs. ***

Experience Requirements and Preferences:

Education: Associates Degree or Bachelor’s Degree Strongly preferred

 

AND

 

Experience: At least 3 years of prior management experience required in a health care setting
